Re-advertisement: The client seeks to appoint a suitable security service provider for the installation of 3 surveillance cameras, alarm system and the provision of 24-hour security monitoring and reaction services for Bethlehem Weather Office, for a period of three years. Scope of work: - This RFQ calls for the qualifying service provider to install 3 surveillance cameras, an alarm system and render 24-hour monitoring and reaction security services for the Bethlehem Weather Office, for a period of 3 years; - The qualifying service provider is expected to uninstall the currently installed alarm system, supply and install new alarm system; - Supply all components necessary for installation of both cameras and alarm system; - Supply and install 3 surveillance cameras; - Provide 24-hour monitoring service; - Link the new alarm system to own/rented control room around Bethlehem; - Link the CCTV to the office monitoring screen; - New installed alarm system to remain supplier’s equipment/asset upon termination; - Service provider will be expected to provide SAWS with daily physical patrolling at least twice a day (between 3am and 6am and between 18:00 pm to 22:00 pm); - The reaction officers must always be in full uniform; - The bidder must be registered with PSIRA; - The reaction officer is expected to react to the emergency within at least 15 Minutes; - The reaction team to be within the Bethlehem area; - The reaction officer must display proof of identity while on duty or while in the SAWS premises; The ID should be in the form of a tag or laminated plastic card and should display the following: - Name; - Photograph; - Company name and telephone number; - PSIRA registration number and the expiry date. CCTV scope of work: • The system must be linked to a workstation and monitor, located in a control room; • The system must have the ability to store surveillance footage on the SAWS network; • The system must be user friendly and enable extracts of surveillance footage for selected time frames; • The solution needs to include training for at least four employees; • The system must also include a 3-year service of both hardware and software (bi-annual service) (supplier to also include/indicate call out fee on quotation). Specifications: - The service provider must have the ability to access debtor records despite lack of accurate ID numbers and Company registration number. - All reports must be provided electronically and evidence of secure transmission of data must be provided. - Address issues of return mail and contact ability by providing updated contact information inclusive of physical addresses, telephone and cell phone numbers, emails addresses. - Site verification of business, commercial and industrial properties. - For each property determine if there are any servitudes, and are they registered. - Identify encroachments and determine if there is a valid contract in place. - Determine the zoning and indicated if the usage of the property is in line with the zoning and if there is a consent use that is being applied. - Cleary identify vacant stands. - If developed, clearly indicate the number of buildings, and identify the usage of each building (including the type and name of the business). - Determine/verify the electricity network connection. - Determine if valid building plans are in place and identify potential illegal building work. - Determine the amount of sewerage pans per property and identify the type of sewer connection (French drains/conservancy tank/municipal connection). - Quantify the amount of refuse that is collected on average per week. - Record all meter details (water and electricity) and take a current reading. - Determine if the metering device is functional and actively working. - Identify any illegal connections relating to services. - Identify potential water/electricity losses and/or leakages. Proposals are hereby invited for the following: Appointment of a service provider for the provisioning of an integrated cloud-based contact centre solution and an end-to-end cloud telephony solution for the NLC for a period of five years. Scope of works, services and deliverables: Phase 1: Cloud-Based Contact Centre and Telephony Solution Implementation: 1. Contact Centre Setup: a. The current Contact Centre and Telephony Solution is ZYCOO VoIP PBX; b. Establish an independent cloud-based contact centre to enable both on-prem and remote work for up to 50 Call Centre Agents; c. Inbound call handling includes porting the current numbers including the ShareCall number; d. Provide additional softphone licenses for 300 users; e. The current Telephone Number in use is a share call number: 08600 65383; f. No handsets will be required, softphone licences are required. 2. Automatic Call Distribution (ACD): a. Implement automatic routing of calls to specific agents or skill sets. 3. Interactive Voice Recording (IVR): a. Provide easy-to-manage IVR options, self-help for customers, and an emergency skill set feature; b. The Bidder must configure the Voice Announcements with implementation of the system. 4. Reporting: a. Implement a robust recording system with different reporting options, including real-time and historical data. This should include at least; service levels, calls offered, answered, abandoned, calls waiting, average talk time, list, and agent status etc; 5. Call Queue Management System: a. Manage users, queues, and skill sets with remote monitoring of calls and accessible from mobile devices; b. Wallboards with Dashboards to display real time reports according to requirements; c. Provision of an Email or SMS based OTP authentication mechanism. 6. Call Recordings: a. Implement comprehensive call recording, retrieval based on search criteria, export and email options, and integration with NLC"s Enterprise Solution data store and in compliance with NLC’s Data Retention Policy. 7. Call Quality Management: a. Conduct agent interaction monitoring, silent, barge, whisper functionality, and call quality scoring/customer feedback. 8. Omnichannel Integration: a. Integrate voice, Webchat, SMS, and social media for seamless routing, reporting, and recording; b. Integration with MS Outlook, MS-Teams WhatsApp for business.
